OUR TERMS AND CONDITIONS
By agreeing to the terms and conditions, I acknowledge that Vibe Dance and its instructors are not liable for any injuries or incidents that may occur during class. The instructor will always prioritize the safety and well-being of each student but is not first aid trained nor equipped to treat injuries or provide medication. It is the responsibility of the parent/guardian/myself to care for the participant. It is also the responsibility of the parent/guardian to disclose any relevant medical conditions, allergies, or special requirements that may affect the participant’s ability to safely engage in dance activities.
I understand that it is my responsibility as the parent/guardian to ensure my child’s safety and well-being. This may include staying at the class to supervise my child or providing clear instructions for contacting emergency contacts in the event of an incident. If the parent or guardian chooses not to stay during the class, they remain fully responsible for the participant and must be available to answer phone calls in the event of an emergency, injury, illness, behaviour issue, or any situation requiring immediate contact. Failure to respond may result in the participant being removed from the class for their safety.
In the event of an emergency, the instructor will contact emergency services immediately and take appropriate actions to ensure the safety of the participant. It is the responsibility of the parent/guardian to ensure that current emergency contact information is provided to Vibe Dance to contact or take any necessary action.
I also recognize that I am responsible for the behaviour of my child/myself while attending Vibe Dance. Discrimination, verbal abuse, or any form of mistreatment will not be tolerated in order to maintain a respectful and welcoming environment for all students, parents, and staff. In cases of inappropriate behaviour, the individual may be given a warning, asked to leave the class, or permanently removed from the programme depending on the severity of the incident. Continued disruptive behaviour may result in permanent removal from Vibe Dance with no refund provided.
To agree to these terms and conditions, you must be 18 years of age or over, and if you are signing this for yourself, you must be at least 18 years of age.
I understand that uniform is required for all lessons unless if the principal instructs otherwise on a rare occasion.
If you do not give permission for yourself/your child to have pictures and videos taken, an emoji will be used to cover the face or you/your dancer will be cut out of the video.
Terms & Conditions for Monthly Class Packages
Monthly packages are priced as follows:
£30 for 4 lessons per month
£45 for 8 lessons per month
£60 for 12 lessons per month
ALL lessons are fixed to the specific class times and studio locations you sign up for.
If you miss a lesson, it cannot be replaced, rescheduled, or swapped for another class time or studio. This applies for ALL subscriptions and classes.
You may only attend the classes at the studio(s) you originally selected when signing up.
Missed lessons do not roll over to the next month.
Monthly Payments
All monthly payments for dance classes are due on the 1st of each month. Payments will be automatically processed on this date.
No Refunds
If payment for the current month has already been made, it is non-refundable, even if a dancer decides not to continue with the classes for that month. This includes classes or events that have been paid for already such as workshops, rehearsals or tickets for any sort of event. WE HAVE A NO REFUND POLICY. This includes clothing or any items, merchandise or ANYTHING sold by us.
Class fees
In the rare occasion of you paying as you go for classes, workshops or rehearsals, notice is to be given at least 2 days before the rehearsal/ workshop or classes of any type if you cannot attend. These can be paid for latest before the class/ rehearsal/ workshop begins on that day unless said otherwise. If you do not attend classes and do not give enough notice, you will still have to pay the required fees. If nothing has been said about when is the latest date to inform us of when you or your dancer cannot attend, the terms of 2 days notice will apply.
Cancellation Policy
To cancel your subscription, you must provide a minimum of 30 days’ notice before the 1st of the next month.
The day you give notice counts as Day 1 of the 30-day notice period.
Notice must be provided in writing (e.g., email or another agreed method).
How the notice works for different months
If a month has 31 days, you may give notice on the 1st of that month for cancellation on the 1st of the following month.
If a month has 30 days, notice must be given no later than the last day of the previous month, as giving notice on the 1st would not meet the required 30 days.
Example
To cancel your subscription effective from 1st November, notice must be given on or before 1st October.
If notice is not received within the required timeframe, the subscription will continue and the next month’s payment will still be charged.
This policy ensures consistency with monthly billing cycles and allows us to plan appropriately for classes, staffing, and resources.
In the event of unforeseen circumstances such as natural disasters, pandemics, or government-mandated restrictions, Vibe Dance may suspend, reschedule, or modify classes, with no liability for compensation. Participants will be notified as soon as possible of any changes.
Vibe Dance reserves the right to amend these terms and conditions at any time. Changes will be communicated to participants via email or other agreed methods.
UPDATED CLAUSE:
Class Fees:
For regular classes, fees are paid monthly by direct debit. Odd rehearsals, extra classes, workshops, events, and other special sessions will be paid weekly as you go.
Changing Class Times:
If you/your dancer are enrolled in a specific class time (e.g., 1pm–2pm) and cannot attend that session, attendance at a different class time (e.g., 2pm–3pm) is not included in your payment for the original class.
Each class is registered and insured separately. Therefore, if you/your dancer wish to attend a different class instead of the one you are enrolled in, the full fee (£8) for the alternative class must be paid, as you/your dancer are not covered for that session under the original booking.
This applies regardless of:
- the reason for missing the original class,
- availability in the alternative class, or
- whether the classes take place on the same day.
Attending a different class is always considered an additional session and must be paid for accordingly.
Notice Policy:
Notice is to be given at least 2 days before any class, rehearsal, workshop, or special session if a dancer cannot attend. This includes, but is not limited to:
Regular classes
Workshops
Rehearsals
Extra seasonal classes (e.g., Halloween, Christmas, Easter sessions)
Special events or performances
Even if there is no reminder sent for a class, rehearsal, or special session, it is the responsibility of the parent, guardian, or adult responsible for the dancer to notify the owner as proof of notice given.
If notice is not received within the required timeframe, the full fee for that session is still due.
If nothing has been said about when the latest date to inform us of non-attendance is, the terms of 2 days’ notice will apply.
HOLIDAYS & ABSENCES
If you are planning for your child to be absent for a period of time (e.g., one to two months), you must provide at least 30 days' written notice prior to the start of the month of absence in order to be eligible for a holding fee.
The holding fee is £15 per child, per month and secures your child’s place in their class while they are away.
If your child is absent for more than 2 consecutive months, your subscription may be cancelled and their place may be released to new students. If you wish to return, you will need to re-enrol, and a space will not be guaranteed.
Monthly payments will continue to be collected via Class For Kids on the 1st of each month as normal. Vibe Dance will process a refund via bank transfer for the difference (e.g., if £30 is paid for one child, £15 will be refunded back to you).
Failure to give the required 30 days’ notice will result in the full monthly payment being due for that month and no refund will be issued.
If a dancer is able to attend one lesson during the month they are away, they must pay £8 for the lesson (per dancer) in addition to the £15 holding fee.
If a dancer attends two or more lessons in the month, the full monthly fee will apply.
If a dancer changes their mind and decides not to continue after returning from holiday, 30 days' notice is still requiredto cancel the subscription. Without proper notice, monthly fees will continue and no refunds will be given.
Notice must be provided by text message or online message so that a written record is kept.
This policy is effective from 26th April 2025.
